Privacy policy
Zenshin Dojo teaches judo to children aged 5 to 17. Because every one of our students is a child, we handle personal data more carefully than a general-purpose service would. This policy explains what we collect, why, and what you can ask us to do about it.
Who holds the account
Parents and guardians hold accounts. Children do not.A child under 13 has no separate login — they use the app through their parent’s account. A child aged 13 to 17 may have their own sign-in only if their parent enables it, and the parent keeps visibility and can switch it off at any time.
This is deliberate. It means no child’s record can exist in our system without a consenting adult attached to it.
What we collect
About you, the parent:
- Your name and email address, from your Google account or the address you verify
- Your phone number, if you give it, so the dojo can reach you about classes
About your child:
- Their name and date of birth — the date of birth places them in the correct age group
- Their belt rank, grading history and attendance
- Any medical or injury information you choose to tell us, so instructors can teach safely
- Practice videos, only if you have given permission and only when you record them
We do not collect anything else. No location tracking, no device advertising identifiers, no browsing history, no third-party analytics profiling of children.
Your permissions, and how to withdraw them
You give three separate permissions, and each one is independent. You can withdraw any of them at any time from your child’s profile in the app, without asking anyone.
- Enrolment.Required. Lets the dojo store your child’s name, date of birth, belt and attendance so instructors can teach and track progress.
- Photos and video in class. Optional. Lets the academy include your child in class photos and technique videos shared with other members. If you withdraw it, anything already published containing your child is removed, and our system will refuse to publish new material containing them.
- Practice videos. Optional. Lets you record your child practising and send it to their instructor for feedback.
Declining the optional permissions does not stop your child training or using the app.
Practice videos
These are handled more strictly than anything else we hold:
- Visible only to you and your child’s instructors. Never to other students, never to other parents.
- Recorded in the app with the camera. We cannot access your photo library.
- Capped at 90 seconds.
- Automatically deleted after 90 days. You can delete any video instantly, at any time.
- Every time one is opened, we record who opened it and when. You can see that list.
- Stored privately with expiring links, not on a public URL.
What children cannot do
Some features common to other apps are deliberately absent, because we will not put children in unsupervised contact with each other:
- No student-to-student messaging
- No public comments
- No public profiles, friend lists or named leaderboards
- No advertising of any kind, and no advertising directed at children
Questions a child asks about a lesson go to their instructor only. An instructor’s reply goes to the parent and child together — there is no private channel between an adult and a child anywhere in this system.
Who can see your child’s data
- You — everything we hold about your own children
- Your child’s instructors — records for students in the classes they teach
- The academy owner and designated safeguarding lead — records for the academy
- Our technology provider— no routine access to any child’s records. Emergency access requires a stated reason, is time-limited, is logged, and notifies the academy automatically.
We do not sell personal data. We do not share it with advertisers. We do not use it to train machine-learning models.
Service providers
We use a small number of providers to run the service:
- Supabase — database and private storage for practice videos
- Bunny.net — hosting for instructor-made technique videos
- Google — sign-in, if you choose to use it
- Resend — sending sign-in codes by email
- Vercel — website and application hosting
How long we keep things
- Practice videos: 90 days, then deleted automatically
- Attendance and grading records: while your child is enrolled, and for a reasonable period afterwards for their own belt history
- Inactive profiles: deleted after 12 months of inactivity
- Consent records: kept as long as we hold your child’s data, because they are the record of your permission
